Backup your library

Backing up your library

Once a new library has been created, it is best practice to backup your library from time to time.

Best times to backup are:

  • Before you upgrade or load a new version of EndNote
  • When you have entered a lot of data for that week.
  • Synchronizing your library with EndNote Online also provides a backup, but it is still advisable to make regular back-ups, (Sync will be covered at a later date)

While it is not recommended to save your working library on a network drives, cloud-based drive, or other external source, it is OK to save your backups to a networked drive.  These drives are often backed up so you don't run the risk of loosing your files if the computer crashes.

FYI, some Documents folders are actually networked drives.

To Save a Compressed Backup Copy

An EndNote library is made up of a library file (.enl) and a data folder (.dat).  It is important to always ensure these two files are kept together.  While Save a copy will create a file copy, the Compress Library (.enlx) option will keep both required parts together.  Just remember, when it comes time to use these files, they will need to be extracted.

Compressed library:

  • Menu:  File  |  Compress Library (.enlx)
  • Next
  • Choose location to save file
ENLX libraries are less likely to become corrupt, so it is OK to save these backup files to network drives, cloud storage, or share by email (if not too large).
  • Save

Notes:

Uploading

  • EndNote is available for use by all Medical Center personnel. A WakeHealth email must be used to access.  Wakehealth use Software center to download.  Note:  Atrium users will need to use the PC(personal tab) to install EndNote.  Atrium does not have access to the WakeHealth Software Center.
  • If you have any computer administration access issues while downloading EN, contact the HELP desk for assistance.
  • Support for EndNote software usage is supported by Carpenter Library.
  • Downloads from the Software Center to institutional computers will not need administrative rights .  However, periodic updates will require the HELP desk to apply admin rights.
  • EndNote X9.3.3 thru Endnote 21 library files are not backward compatible. (this means You cannot open an EN20/21 library in ENX9.1 or X9.2 or older version—
  • EN will convert your old library…so be sure to backup before opening old file into the newer software

Storage

  • Keeping your endnote library (.enl or .txt) on any cloud-based storage is highly discouraged. EndNote libraries kept in cloud based storage or on network drives have a tendency to become corrupted. Please keep any EndNote libraries stored on your hard drive.
  • •Dropbox       Google Drive     OneDrive      SharePoint        SkyDrive     Sugar sync     Amazon Cloud   or  USB memory   These locations increase the risk of encountering corruption and performance issues at a later time due to network connectivity or network latency.
  • Be careful saving files to the Documents folder on Institution computers, this folder may be mapped to a network drive.  The safest place to ensure no prior mapping is in place is to use the  C drive (or whatever letter is assigned to you computer hard drive)

New Libraries

  • When creating a new library, EN creates two files, a data file and an ENL file.  It is important to keep these 2 files together in the same folder location.   These files are dependent upon each other for the EndNote library to function correctly.
  • While EN will allow you to create multiple libraries but it is recommended to store all of your research materials in a single EndNote library The reason for this …is problems may occur if you cite from different libraries into one Word-document  EN cannot search across multiple libraries. You would have to search each library individually  But more importantly….. EN only supports one file when it come time to sync and share your library.
  • EndNote should always be opened from the start button or App list, and NOT from Word
